AI chatbots have improved a lot. Many can now answer customer questions in natural language, around the clock. But they are not right for every business. Here is an honest look at when a chatbot pays for itself and when it does not.
What a modern AI chatbot can do
- Answer common questions about prices, opening hours, services, delivery and returns.
- Collect enquiry details (name, contact details, what the customer needs) and pass them to you.
- Book appointments or point people to the right page.
- Reply instantly outside office hours, when many enquiries arrive.
What it should not do
- Make promises about prices, refunds or legal matters you have not approved.
- Replace a person for complaints, complex quotes or sensitive conversations.
- Answer from guesswork. A good bot is limited to your own approved information and says when it does not know.
When a chatbot is usually worth it
- You answer the same questions many times a week.
- You lose enquiries that arrive in the evening or at weekends.
- Your team spends hours on email or WhatsApp replies that could be standardised.
When it probably is not
- You get only a handful of enquiries a month.
- Every enquiry is unique and needs a detailed conversation.
- Your website has little traffic. Fix that first.
Costs to expect
Costs usually include a one-off setup (training the bot on your information, designing the conversation and connecting it to your website or WhatsApp) plus a monthly fee for the software and the AI usage. Compare that with the staff time it saves and the extra enquiries it captures.
Risks and how to manage them
- Wrong answers: limit the bot to approved content and review conversations regularly.
- Data protection: tell users they are talking to a bot, explain how their data is used in your privacy policy, and do not collect more personal information than you need.
- Frustration: always give an easy route to a real person.
How to decide
List your ten most common questions and how long you spend answering them each week. If the answer is “hours”, a chatbot is worth testing. Start small, measure the results for a month, then expand.
